AI-Ready Document Checklist

AI-Friendly Document Checklist

Follow these 4 simple rules to boost your AI assistant accuracy by up to 300%!

Rule 1

Use Real Headings

Use Microsoft Word or Google Docs built-in 'Heading 1', 'Heading 2' (H1, H2, H3) styles. This lets the system precisely identify where to split new sections. Do not just manually make the text larger or bold.

Bad (Poor Example)

Manually selecting text, applying bold, and increasing the font size to 18pt to serve as a header.

Good (Correct Example)

Applying standard Heading 1 style formatting from your document editor.

Rule 2

Bite-Sized Paragraphs

Avoid long, unbroken blocks of text spanning an entire page. Each concept (e.g., leave procedure, expense reimbursement) should be a distinct, well-defined paragraph for precise semantic search retrieval.

Rule 3

Simplify Tables

AI is poor at reading nested, complex tables or merged cells. Try to convert tabular data into bullet points for perfect comprehension.

Example (Bullet Point Conversion)
Instead of using a complex table with merged cells to outline leave days, write it directly as: '• 1 Year: 7 days leave; • 2 Years: 10 days leave; • 3 Years: 14 days leave'.
Rule 4

Explain Acronyms

If your company refers to Performance Appraisal as 'PA', define it early in the document: 'PA = Performance Appraisal'. This ensures that when users search for PA, the AI can make the correct semantic association.
